PartnerFlow is built and powered by dkilo, Inc., a Delaware corporation in the United States ("dkilo," "PartnerFlow," "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit the PartnerFlow website, communicate with us, schedule a demonstration, or use the PartnerFlow platform and related services (collectively, the "Services").
If you use PartnerFlow on behalf of an organization, that organization may separately control personal information placed in its workspace. In those circumstances, dkilo generally processes that information on the organization's instructions. Questions about information in an organization-controlled workspace should first be directed to that organization.
1. Information We Collect
Information you provide directly
We may collect information you choose to provide, including:
Your name, work email address, telephone number, job title, company, and professional role;
Information submitted through contact, support, and demonstration-request forms;
Meeting-booking details submitted through Cal.com;
Account credentials and profile preferences;
Billing, subscription, and transaction information associated with an organization’s account;
Support requests, feedback, survey responses, and other communications with us; and
Files, records, notes, messages, and other content submitted to a PartnerFlow workspace.
Workspace and customer content
PartnerFlow enables organizations to manage strategic initiatives, assets, opportunities, companies, contacts, meetings, evaluations, approvals, agreements, legal terms, obligations, and related files and activity. This information may include professional contact details and confidential business or scientific information.
The organization that provides or controls a workspace determines what information is submitted and how it is used. Unless a separate agreement says otherwise, customers should not use PartnerFlow to store protected health information, patient-level clinical data, government identification numbers, consumer financial account credentials, or other specially regulated personal information.
Information collected automatically
When you use the Services, we and our service providers may automatically collect:
Device, browser, operating-system, and language information;
IP address and approximate location derived from it;
Pages viewed, features used, referring pages, and interaction timestamps;
Login, audit, diagnostic, performance, and error logs; and
Cookie identifiers and similar technical information.
Information from third parties
We may receive information from:
The organization that invites you to a PartnerFlow workspace;
Authentication, scheduling, communications, analytics, and infrastructure providers;
Integrations enabled by you or your organization; and
Publicly available professional and company sources, where permitted by law.
2. How We Use Information
We use personal information to:
Provide, operate, maintain, secure, and improve the Services;
Create and administer accounts and organization workspaces;
Authenticate users and enforce permissions;
Process demonstration requests, meeting bookings, subscriptions, and support requests;
Configure and personalize workspace features;
Send service notices, security alerts, administrative messages, and requested communications;
Understand product usage, diagnose errors, and improve performance;
Prevent fraud, abuse, security incidents, and unlawful activity;
Comply with legal obligations and enforce our agreements; and
Send product news or marketing communications where permitted by law. You may opt out of marketing messages at any time.
Where applicable law requires a legal basis, we rely on one or more of the following: performance of a contract, our legitimate interests, compliance with legal obligations, protection of vital or legal interests, or consent. Where processing is based on consent, you may withdraw that consent at any time.
3. AI-Assisted Features
PartnerFlow may include AI-assisted features that summarize information, retrieve relevant workspace records, or help users prepare analyses and drafts. When a user invokes such a feature, relevant prompts and workspace content may be processed by dkilo and contracted AI service providers to produce the requested output.
AI-generated output may be incomplete or inaccurate and must be reviewed by an authorized person. PartnerFlow does not use customer workspace content to train general-purpose AI models unless the customer expressly agrees in writing or enables a clearly identified opt-in feature.
4. Cookies and Similar Technologies
We may use cookies and similar technologies that are necessary for authentication, security, preferences, performance, and analytics. Where required, non-essential cookies will be used only after consent.
You can control cookies through your browser settings and, where available, our cookie controls. Blocking necessary cookies may prevent parts of the Services from functioning. Where legally required and technically supported, we will recognize valid browser-based opt-out preference signals, such as Global Privacy Control.
5. How We Disclose Information
We may disclose personal information to:
Your organization: Workspace administrators and authorized users may access information associated with their organization’s workspace;
Service providers: Vendors that support hosting, databases, authentication, scheduling, communications, analytics, support, payments, security, and AI-assisted functionality;
Integrations: Third-party services connected by you or your organization, according to the permissions granted;
Professional advisers: Lawyers, auditors, insurers, accountants, and other advisers subject to appropriate confidentiality duties;
Authorities or other parties for legal reasons: When reasonably necessary to comply with law, legal process, or valid government requests; protect rights and safety; investigate misuse; or enforce agreements; and
Transaction participants: In connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of all or part of our business, subject to appropriate safeguards.
We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising. If our practices change, we will update this Policy and provide any rights or notices required by law.
6. International Data Transfers
dkilo and its service providers may process information in countries other than the country where you live. Where required, we use recognized safeguards for international transfers, such as adequacy decisions, approved contractual clauses, or other lawful transfer mechanisms.
Enterprise customers may contact us for additional information about available data-processing terms and transfer safeguards.
7. Data Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including to provide the Services, maintain security and audit records, comply with legal obligations, resolve disputes, and enforce agreements.
Retention periods depend on the type of information, the customer’s configuration and instructions, contractual requirements, legal obligations, and the sensitivity of the information. After an organization’s subscription ends, workspace data will be retained or deleted according to the applicable agreement and our backup-deletion cycle.
8. Security
We use administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. These safeguards may include access controls, authentication, encryption, logging, monitoring, backups, and service-provider reviews.
No system can be guaranteed to be completely secure. Customers and users are responsible for protecting their credentials, configuring access appropriately, and promptly notifying us of suspected unauthorized access.
9. Your Privacy Rights
Depending on your location and subject to legal exceptions, you may have the right to:
Know whether and how we process your personal information;
Access or receive a copy of your personal information;
Correct inaccurate or incomplete information;
Request deletion of personal information;
Restrict or object to certain processing;
Receive portable information in a commonly used format;
Withdraw consent where processing is based on consent;
Opt out of marketing communications;
Opt out of the sale or sharing of personal information, where applicable; and
Appeal a decision regarding a privacy request or complain to a data-protection authority.
We will not discriminate against you for exercising applicable privacy rights.
To submit a request, email hello@partnerflow.net with the subject line “Privacy Request.” We may need to verify your identity and authority before completing a request. An authorized agent may submit a request where permitted by law, but we may require proof of authorization.
If your request concerns information controlled by a PartnerFlow customer, we may refer the request to that customer or assist the customer in responding.
10. California Privacy Notice
California residents may have rights to know, access, correct, or delete personal information and to opt out of certain sales or sharing. During the preceding 12 months, we may have collected the categories described in Section 1, including identifiers, professional information, internet or network activity, commercial information, and inferences related to product use.
We collect these categories from users, customers, integrations, service providers, and permitted public sources. We use and disclose them for the business purposes described in Sections 2 and 5. We do not use or disclose sensitive personal information to infer characteristics about individuals.
As stated above, we do not sell personal information or share it for cross-context behavioral advertising. To exercise an applicable California right, contact hello@partnerflow.net.
11. European and UK Privacy Information
For personal information that dkilo controls, dkilo, Inc., a Delaware corporation in the United States, is the data controller. Where a customer controls information in a PartnerFlow workspace, dkilo generally acts as a processor or service provider on that customer’s behalf.
Individuals in the European Economic Area, United Kingdom, or Switzerland may contact us to exercise applicable rights or ask about the legal basis for a specific processing activity. You may also have the right to complain to your local data-protection authority.
12. Third-Party Services
The Services may link to or integrate with third-party services. Their handling of personal information is governed by their own terms and privacy policies. For example, demonstration scheduling through Cal.com is also subject to Cal.com’s privacy practices.
Customers should review third-party integrations before enabling them and should authorize only the permissions needed for their workflow.
13. Children’s Privacy
PartnerFlow is a business service and is not directed to children. We do not knowingly collect personal information from anyone under 18 through the Services. If you believe a child has provided personal information to us, contact hello@partnerflow.net.
14. Changes to This Policy
We may update this Privacy Policy to reflect changes in the Services, our practices, or applicable law. We will post the updated version with a revised effective date and provide additional notice when required.
